To All FAR-West members,

Due to unforeseen circumstances, our current Exhibit Hall Coordinator has had to step down for the 2009 conference.

We are looking for someone who would be willing to step up to the plate, take on this position and become part of the Movers and Shakers that make this conference a success.

Below is the description of what this job entails. You will not be left alone; we have past Coordinators who are ready and willing to answer any and all of your questions.

Much of the initial pre-conference work described below has been done but we need someone to step to the helm and assume pre-conference and on site responsibilities.

JOB DESCRIPTION

Exhibit Hall Coordinator
1.    Coordinates with Budget Committee on fee structure and budget for Exhibit Hall.

2.    Make decisions regarding hall size and amenities (tables, pipe and drape, reception, hall hours, etc)

3.    Coordinates with Volunteer Committee for on-site personnel and scheduling.

4.    Coordinates with Hotel/Rooms Committee for on-site space and furniture requirements.

5.    Coordinates power requirements/costs with Hotel/Rooms Committee.

6.    Assigns spaces and creates Exhibit Hall map.

7.    Establishes refund/cancellation policies.

8.    Solicits exhibitors.

9.    Coordinates with Program Book Committee on exhibitor listings and map.

10.  Coordinates with Signage Chair for Exhibitor Signs

11.  Establishes requirements and guidelines for Exhibit Hall participation

12.  The Coordinator or a volunteer is to be on site during hall hours.

Exhibit Hall Goals:
To provide a professional, comfortable and accessible place for artists, presenters and industry peers to meet. Gathering information, discussing common interests, and conducting business during scheduled exhibit hall times assures a quality exchange of promotional information, ideas, and collaboration without detracting from other conference events. Artists and organizations are encouraged to promote themselves to the fullest, with creativity, bringing press kits, table decorations, audio/visual materials, etc., making the exhibit hall an art form in itself.

Exhibit Hall Guidelines:
Space is available on a first-come, first served basis.

There is to be a .pdf file to download and payment information. Exhibitors will agree, as part of the registration process to abide by these Exhibit Hall Guidelines Registration and payment must be received by the deadline. Exhibits must be within the confines of each table space, no spill over into neighboring table space or walkways.  All audio/visual equipment (laptops, cd players, TVs, etcl) ABSOLUTELY MUST be used with headphones!!!  No live playing during exhibit hall hours!  This is NOT a showcase
opportunity, and jamming can be done at other times and places, but not during business hours Exhibitors may buy a pass for a Booth Bunny (gender neutral term!); someone who can help out and be at the booth while the exhibitor is elsewhere.
If space is available, one or two unassigned tables will be set up mid-room to provide ad hoc conferencing opportunities for exhibitors and visitors.
